
AI for Coaches and Consultants: More Clients, Same Human Touch
I almost lost a client over a Thursday I didn't prepare for.
Nothing dramatic. I walked into a session, asked a question we had already answered two weeks earlier, and watched her face change. That's the moment a coaching relationship starts leaking value.
Here's the short answer if you coach, consult, or run a fractional practice. AI for coaches and consultants works best on everything around the conversation: prep, notes, follow-up, and research. Not the conversation itself. Hand AI the paperwork and you can serve more clients at a higher standard. Hand it the relationship and you have nothing left to sell.

It also looks different by phase of scale. In the Creator phase ($0–$100K), you are the whole business, and AI buys back hours you don't have. By the Operator phase ($250K–$500K), you're adding clients or associate coaches. Now AI becomes the system that keeps quality consistent when you're not in every room.
What I Learned Testing AI in My Own Coaching Practice
Back to that Thursday.
I was carrying a full client load plus coaching other coaches. My prep system was me, a legal pad, and a CRM I updated when I remembered to. Across 170+ clients in seven years, "when I remembered" was never a system.
So I tested it. Every session gets recorded, with permission, and transcribed. Before the next session, I paste the last two summaries into Claude and ask for five things: commitments made, commitments kept, open questions, one pattern I might be missing, and one question to open with.
Prep went from 30 or 40 minutes per client to about 10. Recaps that used to go out a day or two later now go out within the hour.
The surprise wasn't the time. It was that "pattern I might be missing" line. A few weeks in, it flagged that a client had pushed the same hiring decision four sessions straight. I had noticed it. I just hadn't named it. That session was our best one all quarter.

1️⃣ Pick your next client session on the calendar. Pull your notes from the last two meetings.
2️⃣ Paste them into ChatGPT or Claude with this prompt: "Summarize commitments made, commitments kept, open questions, and one pattern I should notice. Then suggest one opening question." Strip last names and anything sensitive first.
3️⃣ Turn on an AI notetaker for your next call. Fathom, Otter, and Zoom AI Companion all do the job. Tell the client up front and ask permission. Most say yes when you explain it means you listen instead of type.
4️⃣ Save a follow-up prompt: "Turn this transcript into a client recap with 3 wins, 3 action items with owners and dates, and one encouraging line in my voice." Edit before you send. Every time.
5️⃣ Write down your three "human only" lines, the things AI never does in your practice. Mine: hard conversations, pricing decisions, and anything a client tells me in confidence stays out of the prompt.
Is AI Worth It for a Coaching Practice? The ROI Case
Run the math on your own calendar. Save 30 minutes of prep and 20 minutes of follow-up per session. At 15 sessions a week, that's more than 12 hours back. Room for three or four more clients without a longer week. Or the same load, done better.
The research lines up. According to Thomson Reuters' 2025 Future of Professionals report, professionals using AI expect to save about 5 hours a week, worth roughly $19,000 a year per person.
And the coaching field is behind. The 2025 ICF Global Coaching Study found only 6% of coaches currently use AI-powered coaching tools. That's the gap. Coaches who adopt early and sensibly get to deliver more while the market catches up.
What to watch:
✅ Get client consent before recording anything
✅ Strip identifying details before pasting into a general AI tool
✅ Read every recap before it goes out
❌ Don't let AI write your hard feedback
❌ Don't send anything that reads like a template, because it probably was
❌ Don't grow client count faster than your judgment can keep up

Here's the uncomfortable truth. Some coaches will use AI to take on 40 clients and quietly deliver less to each one. Clients will feel it. They always do.
The coaches who win use the saved hours to show up more present. They notice the pause before an answer. They take the pattern AI flagged and ask the harder follow-up. That's the product. It always was.
